After-sales fault reports for OEM guitar electronics: a buyer’s intake format
Capture product identity, symptom, setup and safe checks before escalating a dealer fault report to the supplier.
When a dealer reports that an amplifier, pickup, wireless system or effects unit has failed, “no sound” is too little information to compare with the approved sample or request a useful supplier response. A brand should collect the exact variant, symptom, setup and safe checks already performed before asking for a remedy. The form is an intake method, not a diagnosis or a warranty promise.

SoundSentry’s product pages state that warranty and support terms are confirmed in the quotation. A buyer should agree on the contact route, evidence and decision ownership for its selected project. The public product range alone does not establish a universal return period, spare-part supply or repair service.
Separate identity, symptom and conditions
Start with the model and any available serial, batch or order reference. Add the product revision if it can be identified. Record when the symptom appeared and whether it is constant or intermittent. Describe the observable behavior without jumping to a cause: “headphone output is silent while the main output works” gives a supplier more to investigate than “audio circuit defective.”
Then document the setup relevant to the product. For an amplifier, this may include instrument, input path, controls and power arrangement. For a wireless system, it may include pairing state, channel, transmitter and receiver identity, distance and nearby sources. For an effects unit, capture the selected preset, input/output route, firmware shown on the unit and connected app or computer. Only collect details needed for the case; do not ask customers to open a powered device or perform unsafe electrical work.
| Field | Record | Why it matters |
|---|---|---|
| Product identity | Model, variant, unit identifier and order reference if available | Connects the case to the correct configuration |
| Symptom | Observable result, frequency and when it began | Separates a repeatable fault from an isolated event |
| Setup | Instrument, connections, settings and environment relevant to the symptom | Lets a reviewer attempt the same path |
| Safe checks | Steps already tried under the approved instructions | Avoids duplicate troubleshooting and risky improvisation |
| Evidence | Clear photo, short video or audio capture where appropriate | Preserves the reported behavior |
| Decision | Case owner, next action and status | Prevents a request from being mistaken for a resolved case |
Compare the case with the approved configuration
The brand’s support owner should compare the report with the order specification, approved sample and current user instructions. If a setting or connection explains the result, record the instruction provided and whether the customer confirmed recovery. If the issue remains, pass the original observations to the agreed supplier contact. Do not rewrite a customer’s report into a confirmed manufacturing defect before inspection.
For repeated reports, group them by exact model and revision while retaining each case. A buyer-side tracker can mark a case received, awaiting evidence, with the supplier for review, or closed with a recorded outcome. These are proposed internal statuses, not SoundSentry service commitments. A change in firmware, packaging instructions or a supplied accessory may alter what should be rechecked. The revision-control guide explains how to keep proposed and approved changes distinct; the fault record supplies evidence for that decision, not approval by itself.
Define the support handover before launch
In an RFQ, ask who receives dealer reports, which identifiers can be captured from the selected product, what troubleshooting is safe for end users, and how inspection, replacement, documentation updates and any commercial terms will be decided. Request a case template and the applicable after-sales terms for the exact quoted configuration. Do not state a return or repair commitment until it is in the agreement.
Is a video enough to approve a warranty claim?
It may show a symptom, but entitlement and remedy depend on the agreed terms and the product’s identified configuration.
Should support tell customers to reset a digital pedal immediately?
Only if the approved instructions and case context support it. A reset may erase user data, so first confirm what will be lost and how the customer can preserve it.
